The Dashboard

Your home base — read today's numbers, work through appointments, and record payments at a glance.

ForEveryone

This is the screen that greets you when you log in. It's built so you can take one quick look and know what needs doing today. By the end of this section you'll be able to read today's numbers, work through your appointments, and record payments without hunting around.

The dashboard is a glance-and-act screen. It shows you the most urgent bits and gives you a quick way to act on them. For anything deeper, it sends you off to a dedicated page like the Schedule or Invoices.


What's on the screen

When you land on the dashboard you'll see, from top to bottom:

  • A friendly greeting — "Good Morning", "Good Afternoon" or "Good Evening", followed by your first name (for example, "Good Morning, Sam"), with today's date shown just above it.
  • Three summary cards across the top:
    • Outstanding — the total dollar amount your clinic is owed. This counts invoices waiting to be paid plus any unbilled charges — charges that were added to a visit but never put onto an invoice yet. The subtext shows the invoice count, with a + unbilled hint (for example "3 invoices + unbilled") whenever those uninvoiced charges are bumping the total up.
    • Overdue invoices — the total and count of invoices that are now past their due date.
    • Active patients — how many patients are currently active.
  • Two larger cards below:
    • Today's appointments (left) — everyone booked in today, earliest first.
    • Pending invoices (right) — a list of invoices with money still owing.
  • Two more cards below that:
    • Recent appointments (left) — the last few appointments that have already happened, newest first. Click any row to open that visit; View all opens the full History list on the Schedule page.
    • Quick notes (right) — your private reminders and follow-ups. Add one, tick it off, or click a note to edit it, all without leaving the dashboard.
  • Extra cards at the bottom — your clinic may also show a Hospitalised card or a Triage queue card. These only appear if your clinic has those features switched on (see the friction notes below).

The top cards are clickable. Each of the three summary cards at the top is a link. Click anywhere on the Outstanding or Overdue invoices card to jump to your invoices list; click the Active patients card to jump to your patients list. They don't look much like buttons, but the whole card is a doorway to the full list.

Why "Outstanding" includes more than your invoices. Some charges never make it onto a formal invoice — think a euthanasia visit or an in-home call where the money was settled but no invoice was raised. Those unbilled charges are still money that's been earned, so the Outstanding total folds them in. When that happens you'll see the + unbilled hint next to the invoice count. The lower Pending invoices list below shows only the invoiced money, so the two figures can differ — that gap is the unbilled charges.


View today's appointments

Usually: everyone — receptionists check it first thing, nurses and vets check it through the day.

Step by step

  1. Log in, or click Dashboard in the sidebar on the left.
  2. Look at the large Today's appointments card on the left side.
  3. Each row shows a small status icon, the time, patient name, species, age, sex/neuter status, appointment type, and a short chip for the column it's booked into.
  4. Scroll inside the card to see more rows.
  5. To see the whole day in the calendar, click View all at the bottom of the card to open the full Schedule page.

Check someone in without opening the appointment. When a patient arrives, you don't have to open their appointment to mark them as here. On any row that's still Scheduled, a Check in button sits on the right — one click checks the patient in and the row's status icon moves on. It's the same check-in as inside the appointment, just one tap quicker for the front desk. (Once they're checked in the button is done its job and steps aside — open the row to Start consult from there.)

Order of the list. Appointments still happening (scheduled, checked in, in progress) sit at the top. Completed and cancelled ones drop to the bottom, so the things that still need you are always in view.

If something looks wrong

  • I think someone's missing from the list → On a very busy day the card shows only the first 20 appointments. If your clinic has more than that, a View all link appears at the bottom — click it to see every appointment on the Schedule page. Always glance at the footer to check whether there are more.

Look back at recent appointments

Usually: everyone — a quick end-of-day glance at what's just been through.

Step by step

  1. On the dashboard, find the Recent appointments card below Today's appointments and Pending invoices.
  2. It lists the last few appointments that have already happened, newest first — date, patient, type and owner.
  3. Click any row to open that visit's consultation (or the patient's file if no consultation was started).
  4. Click View all to open the full, searchable History list on the Schedule page, where you can search by patient, client or vet and filter by vet or status.

Mine or the whole clinic? The small filter icon (≡) in the card's top-right switches between Mine — just the visits you were the treating vet for — and All appointments for the clinic. Vets start on Mine (a quick check that your own visits are written up); reception and managers start on All. Your choice sticks: it's remembered against your account, so you'll see the same view next time and on any device.


Jot a quick note

Usually: everyone — reminders and follow-ups that don't belong to a consult yet.

The Quick notes card sits beside Recent appointments. Quick notes are private to you — a personal to-do pad, not a shared clinic inbox.

Step by step

  1. Find the Quick notes card on the right of the dashboard's lower row.
  2. Click + Add to jot a new note. You can tag it to a patient (optional), then type the note itself.
  3. Tick the circle on the left to mark a note complete; click a note to edit it; use the menu to copy, complete or delete.
  4. View all opens the full Quick notes page, where completed notes also live.

Only you see your quick notes. They're tied to your account, so a colleague signing in on the same computer sees their own list, not yours.


Create a new appointment

Usually: front desk — but anyone can do it.

Quick version — Sidebar → + Quick ActionsNew Appointment → fill in and Create Appointment.

Step by step

  1. In the sidebar on the left, find the + icon labelled Quick Actions near the top.
  2. Click it, then choose New Appointment from the menu.
  3. A form opens. Choose the patient (or create a new patient or client right there if they're new), then set the date, appointment type, column/vet, start and finish times, the reason for the visit, and any internal notes.
  4. Click Create Appointment to save.

Other ways to do this

  • Quick Actions popover (recommended): always available in the sidebar — fastest for booking through the day.
  • From the Schedule page: open Schedule, then click an empty time slot. The form opens with the date, time and column already filled in from where you clicked.
  • From a patient's file: open the patient in Patients, then use the Add Appointment button — the patient is filled in for you.
  • From a client's file: open the client in Clients, then use Add Appointment and pick which of their pets the booking is for.

If something looks wrong

  • There's no Column selector in the form → That's normal for single-column clinics (mobile vets and small teams). The column only appears when your clinic has more than one. If you move between clinics you may notice it come and go.
  • I'm not sure how to set the times → See the tip on time fields under Edit or update an appointment below.

Edit or update an appointment

Usually: front desk and nurses for changes; vets for moving the visit along.

Quick version — Click the appointment row → edit fields → Save. Or use the blue button / status pill in the header to change its state.

Step by step

  1. In the Today's appointments card, click the appointment row you want.
  2. A panel slides in showing all the details: a patient card (name, species, age, sex/neuter status, owner), the date, type, column/vet, start and finish times, duration, reason for visit, and internal notes.
  3. Change whatever you need.
  4. Click Save at the bottom to keep your changes.

Setting the times. The Start, Finish and Duration fields let you click to open a time picker, or just type the time directly as HH:MM (for example, 14:30). The little picker icon is faint until you hover over the field, so if you don't see one, type the time straight in.

About the Finish time. Finish is worked out automatically from the start time plus the duration. If you change Finish, the app adjusts the Duration to match rather than treating Finish as a separate field. So to make an appointment longer or shorter, just change either the duration or the finish time and the other updates itself.

Other ways to do this

  • From the dashboard (recommended for the day's flow): click the row, edit, save.
  • From the Schedule page: click the appointment in the calendar — the same edit panel opens.
  • From the patient's file: open the patient in Patients, find the appointment in their history, and click it.

If something looks wrong

  • Each card seems to stop at 20 rows → It does, on purpose, to stay readable. Use View all in the footer to see the rest.

Move an appointment along (Check in → Start consult → Check out)

Usually: front desk checks people in; the vet starts and finishes the consult.

Quick version — Open the appointment → click the blue button in the header. It reads Check in, then Start consult, then Check out as the visit progresses.

This is the heart of the daily workflow. As a patient arrives, gets seen, and leaves, you move their appointment through three stages by clicking one blue button each time.

Step by step

  1. In Today's appointments, click the patient's row to open the details panel.
  2. Look at the header of the panel, next to the status pill. There's a single blue action button. What it says depends on where the appointment is up to:
    • Check in — when the appointment is Scheduled. Click it when the patient arrives.
    • Start consult — when the patient is Checked In. Click it to begin the visit.
    • Check out — when the consult is In Progress. Click it when they're done and leaving.
    • Reschedule — appears if the appointment was Cancelled or marked No Show.
  3. Click the blue button to advance to the next stage.

⚠️ "Start consult" does more than change the status. When you click Start consult, the app doesn't just flip a label — it creates a new consult record and takes you to the consult page. That's expected. Before you click it, make sure you've saved any changes you made to the appointment (like the reason or notes), because moving to the consult will leave the appointment form behind and unsaved edits won't be kept. If something looks wrong

  • I clicked Check in (or Start consult) by mistake → No harm done, and you can put it back. The status moves forward one way, so there's no "back" button — but you can change it manually. Click the status pill in the header (for example, Checked In); it's a dropdown. Pick the status you want to return to. (More on the pill just below.)

The status pill is a dropdown. The coloured badge in the header — Scheduled, Checked In, In Progress, Completed, Cancelled or No Show — looks like a plain label, but you can click it to open a list of all statuses and set whichever you need. This is your manual override and your undo.


Cancel an appointment

Usually: front desk.

Step by step

  1. Click the appointment row in Today's appointments.
  2. In the panel header, click the ... (More) button, to the right of the blue action button.
  3. Choose Cancel appointment. The status changes to Cancelled straight away.

Other ways to do this

  • The ... menu (recommended): clearly labelled Cancel appointment — easiest to find.
  • The status pill: click the status pill in the header and choose Cancelled from the dropdown.

Cancelling doesn't ask you to confirm, and it doesn't delete anything — the appointment stays in the record marked as Cancelled. If you cancelled by accident, click the status pill and set it back to Scheduled.


Delete an appointment

Usually: front desk or admin — and only when an appointment was created in error.

Step by step

  1. Click the appointment row to open it.
  2. In the header, click the ... (More) button.
  3. Choose Delete appointment (shown in red).
  4. A confirmation box appears: "Delete Appointment? This will permanently delete this appointment. This action cannot be undone."
  5. Click Delete to confirm.

⚠️ This one really is permanent. Unlike cancelling, deleting removes the appointment for good and can't be undone. If you only want it off the day's list, use Cancel instead.


Usually: front desk.

Step by step

  1. Click the appointment row to open it.
  2. In the header, click the ... (More) button.
  3. Choose Print details.
  4. Your browser's print window opens — print to paper, or save as a PDF.

For now, Print details sends the current screen to your browser's print window rather than a tidy appointment-only sheet. A purpose-built print layout is on the way.

View pending invoices

Usually: front desk and practice manager.

The dashboard surfaces money owing in two places: the Pending invoices summary card at the top, and the larger Pending invoices list lower down.

Step by step

  1. On the dashboard, look at the Pending invoices list card in the lower-right area.
  2. Each row shows the invoice number, the due date, and the balance owing.
  3. Scroll inside the card for more rows. If there are more than 20, click View all invoices → at the bottom to open the full Invoices page.

Other ways to do this

  • The top summary card: click the Pending invoices card at the top of the dashboard to jump straight to the full invoices list.
  • The lower list card: scroll its rows, or use View all invoices →.
  • From the sidebar: click Billing to reach the full invoices page with filters.

⚠️ Pending is not the same as overdue. The lower Pending invoices card shows invoices that are simply unpaid. Invoices that are past their due date are counted separately in the Overdue invoices summary card at the very top. If you're chasing late payments, check the top Overdue card — it's easy to miss. If something looks wrong

  • I'm sure there are more invoices than this → The card caps at 20 rows. Use View all invoices → in the footer to see them all.

Record a payment on an invoice

Usually: front desk.

Quick version — In the Pending invoices card, click the ... menu on the invoice row → Payment → allocate the amount.

Step by step

  1. In the lower Pending invoices card, find the invoice on the dashboard.
  2. On the right of that row, click the ... (kebab) menu.
  3. Choose Payment (the menu also offers View to open the invoice). A payment box opens.
  4. Enter and allocate the payment to the invoice, then confirm.

Clicking the row itself (not the ... menu) opens the invoice's detail page instead — handy if you want to read the full invoice before taking money. The ... menu is the shortcut straight to a payment.

Other ways to do this

  • Dashboard ... menu (recommended): quickest when you just need to take a payment.
  • Invoice detail page: open the invoice and use Record Payment there — better when you want to review the whole invoice first.
  • From Billing: go to Billing → Invoices in the sidebar, find the invoice, and use its ... menu or open it to record payment.

The bottom cards: Hospital and Triage

Note. These two cards relate to the Hospital and Triage features, which are still in development and not switched on for clinics yet — so you won't see them for now.

View hospitalised patients

Usually: nurses and vets.

If your clinic has the Hospital feature on, scroll to the bottom of the dashboard for a Hospitalised card listing patients currently admitted. Each row shows a ward badge, the patient's name and the reason for admission, ordered by ward.

Step by step

  1. Scroll to the Hospitalised card at the bottom of the dashboard.
  2. Click a patient's name to open their patient file.
  3. Click View all patients → to open the full Hospital page for proper management.

View the triage queue

Usually: front desk and nurses.

If the Triage feature is on, a Triage queue card appears at the bottom showing walk-ins by acuity (most urgent first) with their complaint.

Step by step

  1. Scroll to the Triage queue card.
  2. Each entry shows an acuity number, the walk-in's name and their presenting complaint. The entries themselves aren't clickable from here — they're a read-only summary.
  3. Click View all entries → to open the full Arrivals & check-in page, where you can view or edit each entry.

Quick recap

  • The top three cards are clickable links — Outstanding and Overdue go to billing, Active patients goes to patients. Outstanding includes unbilled charges, flagged with a + unbilled hint.
  • Today's appointments is your worklist: a scheduled row has a one-click Check in button; otherwise open the row and use the blue button to Check in → Start consult → Check out.
  • The status pill is a dropdown — your manual override and your undo.
  • Start consult creates a consult and navigates away — save your edits first.
  • Both list cards cap at 20 rows — check the View all footer on busy days.
  • Cancel is reversible; Delete is permanent.
