Paddocks
Track which horses are on your property, which paddock they're in, and when they arrive and depart.
For equine and mixed clinics that keep horses on-site for a while — for example a rehab property. Paddocks helps you track which paddock each horse is in, when they arrived, and when they go home.
If your clinic only ever sees animals that come and go on the same day, you probably won't use Paddocks at all. It's built for the situation where animals stay on your land across days or weeks.
What Paddocks is for
Think of Paddocks as a live roll-call of every horse staying on your property. At a glance you can see:
- how many horses are on-site,
- which paddock each one is in,
- who owns each horse, and
- which paddocks are full and which are free.
When a horse arrives you add it to a paddock. When it goes home you mark it as departed. That's the whole idea.
A note on the word "horse". Every label in this feature says "horse" and "horses" — for example the New horse button. Behind the scenes the feature works for any animal (cattle, sheep, and so on). If your clinic keeps non-horse animals on the property, just read "horse" as "animal". The wording is simply a bit out of date.
What you'll see when you open it
Click Paddocks in the sidebar (the menu down the left of the screen). You land on a table — a simple list, one horse per row. Each row shows:
| Column | What it tells you |
|---|---|
| Paddock | A small colour-coded badge with the paddock name (P1, P2, and so on). |
| Horse | The horse's name, with its photo if one is on file. |
| Signalment | A short description — breed, sex and age, like "Thoroughbred gelding, 8yo". |
| Owner | The owner's name, shown as a blue link you can click. |
At the top of the page, a line tells you the totals, such as "5 horses across 3 paddocks". The list is sorted by paddock, so all the horses in the same paddock sit together.
No map — just the table. Paddocks is a simple table, not a visual map of your property. Everything you need is here: which paddock each horse is in, who owns it, and when it arrived.
Tasks
View all horses on the property
Usually: anyone — vet, nurse or receptionist.
Step by step
- Click Paddocks in the sidebar.
- The table shows every horse currently on the property.
- They're sorted by paddock, so each paddock's horses are grouped together.
Good to know. Only horses that are currently on-site appear here. Once a horse has been marked as departed it drops off this list (it isn't deleted — see If something looks wrong below).
View horses in a specific paddock
Usually: anyone.
Quick version — the table is already sorted by paddock; or type the paddock name in the search box to filter.
Step by step
- Go to Paddocks.
- The list is sorted by paddock, so scroll until you see the paddock badge you want (for example P3).
- To narrow the list to just that paddock, click the search box and type the paddock name.
- Only horses in that paddock remain on screen.
Search for a horse
Usually: anyone, especially front desk.
Quick version — click the search box, type any part of the name, breed, owner or paddock; the list filters as you type.
Step by step
- Go to Paddocks.
- Click in the search box at the top (it says Search horses…).
- Start typing — a horse's name, its breed, the owner's name, or a paddock name all work.
- The list filters straight away to show only matching rows.
- To clear it, click the small X in the search box.
Add a horse to a paddock
Usually: front desk or nurse, when a horse arrives.
Quick version — New horse → pick a paddock → search and select the patient → Add to paddock.
This is the most common task. You're recording that a horse has arrived and saying which paddock it's in.
Step by step
- On the Paddocks page, click the New horse button (top right of the table).
- A dialog opens.
- Choose a Paddock from the dropdown.
- In the Patient box, start typing the horse's name and pick it from the list. The horse must already be registered as a patient (see the note below).
- Click Add to paddock.
- A small confirmation message (a "toast") pops up to tell you it worked.
Why must I choose a paddock? Right now you can't add a horse without picking a paddock — there's no "Unassigned" choice in the list. If you genuinely don't know which paddock yet, pick any paddock for now and move the horse later (see Move a horse).
If something looks wrong
- I can't find the horse in the Patient list → It has to be a registered patient first. Add it under Patients, then come back and allocate it here.
- The Add to paddock button stays greyed out → It only switches on once you've chosen both a paddock and a patient.
Adding a horse that isn't in the system yet
Usually: front desk or nurse.
The New-horse dialog only allocates existing patients — it doesn't create new ones. If the horse arriving has never been seen by your clinic, register it first under Patients (and create its owner there if needed), then come back to Paddocks and allocate it.
Manage your paddocks
Usually: admin — whoever sets things up.
Your paddocks are yours to define — just like the columns on the schedule. Add one for each paddock on your property, give it a name and a colour, and reorder them to match how you think about the place. Your paddocks are saved, so they're there next time you log in.
Quick version — Manage paddocks (top of the table) → Add paddock → name it, pick a colour → Save. Drag the grip handle to reorder; use the ⋯ menu to edit, hide or delete.
Step by step
- On the Paddocks page, click Manage paddocks (top right, next to New horse).
- A dialog lists your paddocks. Click Add paddock to make a new one.
- Give it a Name (e.g. "P1" or "Top Paddock") and pick a Colour — the swatch shows on every horse's row.
- Leave Active on, then click Save.
- Back in the list you can drag paddocks by the grip handle to reorder them, or use the ⋯ menu on a row to Edit, Make inactive (hide without deleting), or Delete.
Deleting a paddock with horses in it. If you delete a paddock that still has horses, the horses stay on the property — they just become unassigned, and you re-allocate them to another paddock afterwards. Wattle warns you before deleting.
View a horse's full patient record
Usually: vet or nurse.
Quick version — click anywhere on the horse's row (except the blue Owner link).
Step by step
- Go to Paddocks.
- Click anywhere on a horse's row — the name, the breed summary, the paddock badge.
- You're taken to that horse's full patient page, with its medical history, appointments and the rest.
One exception. If you click the Owner name (the blue link), you go to the owner's record instead of the horse's. To open the horse, click any other part of the row.
View a horse's owner (client record)
Usually: front desk.
Quick version — click the blue Owner name in the row.
Step by step
- Go to Paddocks.
- Find the horse's row.
- Click the Owner name — it's the blue link in the Owner column.
- You go straight to that owner's client record, with their contact details and history.
See also Clients (pet owners).
Move a horse to a different paddock
Usually: nurse or vet.
Sometimes a horse needs to swap paddocks — to be nearer the rehab centre, or because its paddock is being rested.
How moving works. The simplest reliable way to change a horse's paddock is to remove it and re-add it to the new one.
Step by step
- Go to Paddocks and find the horse.
- Mark it as departed from its current paddock (see Mark a horse as departed).
- Click New horse and add the same horse again, this time choosing the new paddock.
Mark a horse as departed
Usually: front desk or nurse, when a horse goes home.
Quick version — tick the horse's checkbox → click Mark departed in the toolbar that appears.
When a horse leaves your property, mark it as departed so it drops off the on-site list.
Step by step
- Go to Paddocks.
- On the left of each row is a checkbox. Click the checkbox for the horse that's leaving.
- A toolbar appears at the top of the table.
- Click Mark departed (the red button with a "leaving" arrow icon).
- The horse drops off the list. It isn't deleted — its record stays in the system, just marked as departed.
Checkboxes — quick explainer. A checkbox is the little square at the start of each row. Click it once to tick it (a tick appears), click again to untick. Ticking a row "selects" it so you can act on it.
Mark several horses as departed at once
Usually: front desk or nurse — handy when a float-load goes home together.
Step by step
- Go to Paddocks.
- Tick the checkbox for each horse that's leaving — tick as many as you need.
- The toolbar at the top shows how many you've selected.
- Click Mark departed.
- All the ticked horses drop off the list at once.
Power-user tip. To tick a run of rows quickly, tick the first one, then hold Shift and tick the last one — everything in between is selected too. If that doesn't feel comfortable, just tick each row one at a time; it works exactly the same.
If something looks wrong
-
I can't see Paddocks in the sidebar → Paddocks normally sits in the main sidebar. If it's genuinely missing, your account may not have permission — ask whoever set up your clinic.
-
The owner shown for a horse is wrong → The owner is set automatically from the horse's primary client and can't be edited on the Paddocks screen. Click the horse's name to open its patient record, correct the primary client there, then return. This is on the list to be made easier.
-
A horse's summary line (breed, sex, age) looks incomplete → That summary is built from the breed, sex, neutering status and age held in the patient record. If any of those are blank, the summary will be short or missing parts. Open the patient record and fill in the missing details to fix it.
-
I marked a horse departed by mistake — where did it go? → Departed horses are hidden from the table; there's no "show departed" toggle yet. The horse isn't lost — its record is safe. To put it back on the property, use New horse and add it again like a new arrival. The departure history lives on the patient record.
-
I can't find a horse to add it → It may not have a patient record yet. Register it under Patients first, then come back and allocate it.
-
I want to add a horse but don't know which paddock yet → A paddock is required for now — there's no "Unassigned" option. Pick any paddock to get the horse on-site, then move it later.
-
Can't see the New horse or Mark departed buttons? → Your account may not have permission — ask whoever set up your clinic.
