Buttons & symbols cheat sheet
A printable one-page reference to every button, icon and coloured dot in Wattle Clinic, and what each one means.
A one-page reference of the little buttons, icons and coloured dots you'll see all over Wattle, and what each one means. Print it, stick it by the front desk, and glance at it whenever you're not sure.
This page is the picture version of How the app talks to you. That page explains the messages in words; this one is the quick "what does that symbol mean?" lookup.
Tip for everyone. When in doubt, hover your mouse over an icon (hold it still for a second). A small label pops up — that's a tooltip — telling you exactly what the button does. You don't have to memorise anything.
The top bar (site header)
This bar sits across the very top of every screen once you're signed in.
| Symbol | Name | What it means / does | Where |
|---|---|---|---|
| Wattle logo | Home | Click it to go back to your Dashboard (home) from anywhere. | Far left |
| Panel icon | Sidebar toggle | Hides or shows the left menu. Hover shows "Expand sidebar" or "Collapse sidebar". | Left of header |
| Back | Go back to the screen you were just on. Greyed out if there's nowhere to go back to. | Left of header | |
| Forward | Go forward again (after using Back). Hidden on phones. | Left of header | |
| Patients › Fluffy | Breadcrumbs | Your "you are here" trail. Click an earlier word to jump back up. The last word is where you are now. | Middle-left |
| Search & Command | Search bar (⌘K) | Find anything or jump anywhere. See The search bar below. | Middle |
| Bell | Notifications | News and alerts for you. A red dot means you have unread ones. | Right |
| Avatar (your circle) | Your account menu | Your settings, light/dark mode, and Log out. | Far right |
Note. Breadcrumbs are hidden on phones to save room. On a phone, use the Back arrow and read the big page title to know where you are.
The search bar (⌘K)
The fastest way to get anywhere or find anyone.
| Symbol | Name | What it means / does |
|---|---|---|
| ⌘K | Search shortcut (Mac) | Press the Command key and K together to open search instantly. |
| Ctrl K | Search shortcut (Windows) | Press Ctrl and K together — same thing on a PC. |
| ↑ ↓ | Move | Move up and down the list of results. |
| Enter ↵ | Choose | Open the highlighted result. |
| Esc | Close | Shut the search box without choosing anything. |
Good to know. Type at least 2 letters of a patient's or client's name before results appear. Typing one letter only shows the menu shortcuts (like "Go to Patients"). There's also a small "Show deceased & inactive" toggle at the bottom if you're looking for a deceased or archived record.
The + button (add / new)
| Symbol | Name | What it means / does | Where |
|---|---|---|---|
| + Quick Actions | Add something new | Opens a little menu: New Patient, New Client, New Appointment, New Invoice. | Top of the left sidebar |
| + (round, alone) | Quick Actions (collapsed) | Same menu, shown as just a + circle when the sidebar is collapsed. | Top of the sidebar |
Heads up. These open in slightly different ways: New Patient and New Client open a full page, while New Appointment and Compose Email pop up a small window (a dialog). To close a pop-up, press Esc or click outside it. Both are normal — nothing is broken.
Action icons (on rows, cards and records)
These small buttons appear on individual records — a patient, an invoice, a row in a list.
| Symbol | Name | What it means / does |
|---|---|---|
| Pencil | Edit | Change the details of this thing. |
| (three dots) | More actions | Opens a small menu of extra things you can do (edit, delete, and more). When a button is short on room, the less-common actions hide here. |
| Bin | Delete / remove | Remove this item. You'll usually be asked to confirm first. |
| Box (archive) | Archive | Tucks a record away — marked inactive and hidden from the active list, but not deleted. The icon is a small box, not a folder. Used for patients, clients and messages you no longer need day-to-day. |
| Gear | Settings | Adjust how something works. The big gear at the bottom of the sidebar opens your clinic and account settings. |
| Bell | Notifications | (In the header) your alerts and news. |
Don't be afraid of these. Most actions ask "are you sure?" before doing anything permanent, and most things can be undone.
Status dots & coloured badges
Colour is how Wattle tells you a status at a glance. The meaning is always the same across the app.
| Colour | Usually means | Examples |
|---|---|---|
| 🟢 Green | Good / done / paid | Paid invoice, success message, active record |
| 🟡 Yellow / amber | Heads up / part-way / in progress | Draft, partially paid, pending, "just so you know" notices |
| 🔴 Red | Stop / error / needs attention | Errors, overdue invoices, unread-notification dot, warnings |
| ⚪ Grey | Inactive / neutral / not started | Draft, void, archived, deceased, disabled buttons |
A badge is a small coloured pill of text (like Draft, Paid or Overdue). A dot is just a coloured circle, often used as a tiny status light. The same colour code applies to both: green = paid/done, amber = part-paid or draft-in-progress, red = overdue or error, grey = draft, void or inactive.
The red dot on the bell is the one you'll notice most — it simply means you have unread notifications. Click the bell to read them; the dot clears once you've looked.
Pop-up windows & messages
You'll meet a few kinds of pop-ups. None of them are errors — they're just how Wattle asks questions and confirms things.
| Symbol / thing | Name | What it means / does |
|---|---|---|
| A centred pop-up window | Dialog | A small window in the middle of the screen that asks a question or shows a short form. Close with Esc or the . |
| A panel sliding in from the side | Sheet | Like a dialog but slides in from the edge — used for longer forms. Close the same way (Esc or ). |
| A small message in the corner | Toast | A brief confirmation that fades away on its own. Green = it worked, red = something went wrong. |
| Close | Close | Shuts the current pop-up without saving anything you haven't already saved. |
| Warning triangle | Warning | "Please read this before continuing" — usually next to something that needs your attention. |
| Question mark in a circle | Help tooltip | Hover or tap it for a short explanation of the field next to it. |
The sidebar (left menu)
| Symbol | Name | What it means / does |
|---|---|---|
| Clinic logo + name | Clinic identity | Click to open Clinic Settings. |
| Highlighted menu item | Where you are now | The current section is shaded so you can see it at a glance. |
| Tooltip on hover (collapsed) | Item label | When the sidebar is collapsed to icons, hover any icon to see its name. |
| Settings (footer) | Settings | Opens your account and clinic settings. |
| Help & Feedback | Get help | Tips, the Getting Started checklist, and a way to send feedback. |
On a phone or tablet, the sidebar slides away after you tap a menu item, to give you more room. That's on purpose — tap the menu button () in the top-left to bring it back.
Forms: tick boxes & drag handles
| Symbol | Name | What it means / does |
|---|---|---|
| ☐ / ☑ Checkbox | Tick box | Click to turn an option on (ticked) or off (empty). Tick boxes look and behave the same everywhere in Wattle. |
| Drag handle | Drag to reorder | Click and hold these little dots/lines, then drag up or down to change the order of a list. |
| Chevron | Open a menu | A drop-down — click to reveal a list of choices to pick from. |
If something looks wrong
- The settings gear inside the notifications pop-up doesn't open anything (or shows an error page). This part isn't finished yet. To change which notifications you receive, go to your avatar (top-right) → Account instead. If you land on a blank "page not found" screen, just click the Wattle logo to get home.
- A menu item in the sidebar isn't highlighted even though I'm in that section. Sometimes a deeper page (like a single appointment) doesn't light up its parent menu item. You're still in the right place — check the page title and breadcrumbs to confirm.
- A button is greyed out and won't click. That usually means it isn't available right now (for example, the Forward arrow when there's nowhere forward to go), or your account may not have permission. Can't see or use a button you expected? Your account may not have permission — ask whoever set up your clinic.
- I clicked something and a pop-up appeared — did I break it? No. Pop-ups (dialogs and sheets) are normal. Press Esc or click the to close one with no harm done.
