Connecting Wattle Clinic with third-party tools and services.

Most third-party integrations are still coming to Wattle Clinic — planned integrations include Idexx and Stripe, with more to follow. One is live today, on an invite-only basis: booking intake, for practices taking bookings through an external platform like Zenbooker.

Booking intake (invite-only)

If your practice does in-home visits booked through an external platform (for example, home euthanasia bookings via Zenbooker), Wattle can turn a booking straight into a client, patient and appointment on your schedule — no re-typing the owner's and pet's details by hand.

This is currently available to a small number of invited accounts, not a general setting you can turn on yourself. If you think it would help your practice, ask whoever manages your Wattle account to get in touch.

What it does

When a booking comes in, Wattle reads it and creates:

  • The client (and a second contact, for a joint booking with two owners listed)
  • The patient, including a weight observation if one was given
  • The appointment, dated to the actual booking time — not whenever the email happened to arrive or get forwarded

The appointment lands on your schedule straight away, tagged for you to check over — never the other way around. The clinical note and any drug record are never created automatically. Those stay exactly as they've always been: written up by the vet at the visit, or afterwards when you sit down to finish the day's records.

If anything in the booking is unclear — a missing weight, a breed Wattle can't place a species against, an address that doesn't parse cleanly — the record is still created, just flagged for you to fill in or confirm. Nothing is ever silently guessed, and nothing is ever dropped; if Wattle can't make sense of a booking at all, it still creates a bare record with the original text attached so nothing is lost.

Two ways bookings come in

Paste it in. From the Schedule, use New → New from booking, paste the booking email's text, choose who it bills to, and Wattle does the rest. It works out the appointment type from the booking itself — usually a euthanasia, occasionally a quality-of-life consult — so you don't have to pick one. Leave the type on Detect from email and let it decide, or choose a specific type to override it just for that booking.

Forward it in. Once your account is invited, go to Settings → Integrations and open the Zenbooker card — it shows you a personal email address (intake-<yours>@send.wattlevet.com). Forward an individual booking email to that address and it's added to your schedule the same way — no pasting needed. This is deliberately a manual, one-at-a-time forward, not an automatic mail-filter rule, so nothing lands on your schedule you didn't choose to bring in yourself.

Inside the Zenbooker card

Settings → Integrations is a grid of integration cards; click the Zenbooker card to open its settings:

  • Your booking-intake address — copy it from here to forward a booking to.
  • Registered senders — the email address(es) you forward from. Your own account email is already registered by default, and your clinic's contact email is accepted automatically — so forwarding from your usual inbox works straight away, with nothing to set up. Add another address only if you forward from a different inbox. Only forwards from an accepted address are read; anything else is held back and flagged rather than acted on, so a wrong or unexpected sender can never quietly create a record. (If you change your account email later, add the new one here and remove the old.)
  • Defaults — who a forwarded booking's charges bill to, and the appointment type to fall back on if Wattle can't tell from the email (it detects the type per booking; this default only fills in when it's unsure). Only relevant to the "forward it in" path, where no one's there to choose. Choices save the moment you make them — there's no Save button.
  • Activity — a log of every email and paste your clinic has received and what happened to it: when it arrived, whether it was added, and the plain-English reason when it wasn't. Click any row for the full detail, including the original email text. If something you forwarded seems to have vanished, look here first.

Who gets billed? By default, charges bill the pet's owner — the normal arrangement, and nothing to set up. Choose an organisation account as the bill-to default only when a company pays for the bookings themselves — for example, if most of your bookings are subcontracted in-home euthanasia work billed back to the booking company. If your bookings are a mix, it's usually simpler to leave the default on the pet's owner and change the bill-to on the patient's record for the company-billed ones — the review card shows Bill to for every booking, so you can always see who'll be charged before any invoicing happens.

You'll hear back after every forward

Forwarding is usually done from a phone with the app closed, so Wattle replies to the address you forwarded from, naming the email it's about by its subject line:

  • Added — a confirmation carrying the booking itself (when, owner, patient, appointment type, and who it bills to), so you can sanity-check it right from the email without opening the app, plus a link to review the new appointment.
  • Couldn't be processed — a plain-English reason and a link to where the original text is saved, so nothing needs re-forwarding from scratch.

Replies only ever go to registered senders. Inside the app, the notification bell tells the same story — including when an email was held back because its sender isn't registered, with a link straight to this card's Activity log.

Choose which replies you get. The Email replies section of the Zenbooker card has a switch for each kind — Booking added, Possible duplicate, and Couldn't be processed — all on to start with. Prefer to hear only when something went wrong? Switch off Booking added and keep the other two. These are personal settings (they only change the emails sent to you), and every reply carries a "Manage which of these emails you receive" link back to this card. The in-app notifications aren't affected — the bell always tells the full story.

Forwarded the same booking twice?

It happens — you forward an email, aren't sure it went through, and forward it again. Wattle can't always tell two forwards of the same email apart, so the second one is still added — but it's flagged as a possible duplicate: the notification leads with "Possible duplicate", the reply email says the same, and the review card spells out why (another appointment for the same patient around the same time — or, for a euthanasia booking, that this patient already has one booked, whatever the date). Resolving it is up to you: open the review card and Delete this booking to remove the extra one, or View on schedule — which lands on the booking's day — to see both side by side and decide.

What's never automatic

  • The consult note.
  • The drug record for anything given at the visit (a euthanasia drug and dose, for example) — this is always entered by the vet, the same as any other controlled or restricted medication.
  • Billing — charges are still added by you, in the usual way, whenever you finish up the record.
